Privacy Policy
This policy explains what personal data InterviewClip collects, why, how long we keep it, and the choices and rights you have.
Who we are
InterviewClip ("we", "us") provides software for one-way video interviews. This policy applies to our marketing website (interviewclip.com) and the InterviewClip application (app.interviewclip.com). For privacy questions, contact us at [email protected].
When an employer (our customer) uses InterviewClip to interview candidates, the employer is the controller of the candidate's data and we process it on their behalf, under the data-processing commitments in Section 8 of our Terms of Service. If you are a candidate, please also refer to the privacy notice of the organisation that invited you. For account data of signed-in users, billing records, and support correspondence, we act as the controller.
Data we collect
- Account and organisation data: name, work email, password (stored hashed), company name, role, and team membership for users who sign in.
- Candidate personal data: name, email, optional phone number, an optional reference identifier, and any details an employer adds when inviting you. Candidates do not create an account.
- Video recordings: the answers candidates record, treated as personal data.
- Transcripts: machine-generated English captions of recorded answers, stored as text to support search and optional AI summaries.
- CV uploads: where an employer uploads a candidate CV, the file and the details extracted from it (contact information, skills, experience).
- Evaluations: reviews, scores, and notes that an employer's team records about a candidate's answers. These belong to the employer's hiring process.
- Support and contact messages: messages and contact details you provide via the in-app support form or the public contact form.
- Usage and technical data: log data such as IP address, timestamps, and request metadata used to run, secure, and debug the service.
How we use data
We use data to: provide the interview, review, and scoring features of the service; send transactional email (invitations, reminders, confirmations, account and security notices); generate transcripts and, where an employer enables them, AI-assisted features such as answer summaries, CV data extraction, and candidate matching (AI outputs are advisory tools for the employer's reviewers; InterviewClip never makes automated hiring decisions, and we do not use your data to train AI models); meter usage and manage subscriptions; respond to support requests; and secure the service, prevent abuse, and meet legal obligations.
Legal bases
Where data-protection law (such as the GDPR) applies, we rely on: performance of a contract; legitimate interests (securing and improving the service, responding to messages); consent (for non-essential cookies and any future analytics); and legal obligations. Employers are responsible for the lawful basis on which they invite and assess candidates.
Payments
Subscriptions are sold and processed through a third-party payment provider. The provider collects and processes your payment details as an independent controller under its own privacy policy; we never see or store full payment card details. We keep records of subscription events (plan, amounts, dates) for accounting.
Service providers
We use a small number of service providers to run InterviewClip, in categories such as hosting, video processing and delivery, transactional email, payment processing, and AI processing. Each provider processes data only to deliver its function for us and is bound by data-protection obligations.
Retention and deletion
We keep personal data only as long as needed. Candidate data, including video recordings and uploaded CVs, is deleted when the employer deletes the related candidate, invitation, or job, and when an organisation's account is closed. Superseded recordings are removed automatically, and we run routine sweeps so no orphaned files are left behind. Deleted data may persist in our backups for up to 30 days before rolling off. Account data is retained while an account is active and removed or anonymised afterwards; billing and accounting records are kept as long as the law requires.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal data, to object to or restrict certain processing, and to withdraw consent. If you are a candidate, these rights apply against the employer that invited you, as the controller of your candidacy data; contact them first, and we will assist them. For data we control (accounts, billing, support), contact [email protected]. You may also have the right to complain to a data-protection authority.
Candidates
Candidates are invited by an employer through a secure, expiring link and never create an account. If you have questions about why you were invited or want your data removed, contact the inviting organisation first; we will assist them. You can also reach us at [email protected].
International transfers
Our infrastructure and providers are primarily located in the United States, so your data may be processed outside your country. Where required, we rely on appropriate safeguards for international transfers, such as the EU-US Data Privacy Framework certifications held by our providers.
Security
We protect data with encryption in transit (HTTPS), hashed passwords, scoped access controls, and expiring tokens for candidate and share links. No method of transmission or storage is completely secure, but we work to protect your data and review our practices regularly.
Children
InterviewClip is intended for use by employers and adult candidates and is not directed to children under 16. We do not knowingly collect data from children.

Changes to this policy
We may update this policy from time to time, revising the "Last updated" date above and, where appropriate, notifying you of material changes.
